Prepare an asset version for review before it becomes a live change.
Use one record to keep an approved brief, version reference, held change, reviewer, safe evidence, stop condition, and recheck together. It prepares an owner review; it does not approve or publish an asset.
This log does not approve brand direction, claims, legal wording, licensing, accessibility, consent, budget, targeting, publication, a live change, or a customer-facing promise. Authorized creative, marketing, legal, accessibility, privacy, and publishing owners control those decisions.
Four control fields
Keep the approved asset reference separate from the change an owner still needs to decide.
The brief, version, review route, evidence, and stop point stay easy to inspect.
Control field
Approved brief and asset reference
Record the approved brief, asset or version reference, intended placement, and the safe location of the source files. Do not copy credentials, license keys, private files, customer data, or restricted exports into this record.
Control field
Visible version and held change
Name the version being reviewed and describe the requested or observed change without deciding whether it should be made. Brand direction, claims, legal review, accessibility, licensing, budget, and final creative judgment stay held.
Control field
Reviewer and publishing owner
Name the authorized brand, legal, accessibility, or marketing reviewer where applicable, plus the owner who can approve publication. A preparer may assemble evidence and route questions but cannot approve, publish, or change an asset.
Control field
Evidence, stop condition, and recheck
Link safe evidence such as an approved brief, version history, review note, or permitted preview. Stop when approval, source rights, claim support, accessibility, licensing, publishing authority, or the destination is unclear.
Fictional examples
A version label gives an owner something to review. It is not approval.
These fictional records show preparation only. On smaller screens, scroll the table sideways to read every field.

Review steps
Prepare the record. Stop before making a creative decision.
A preparer can collect approved references, compare them to the brief, and flag a mismatch. The authorized owner decides what happens next.
Open the approved brief and record the asset reference, version, intended placement, and safe evidence location. Hold the record if the brief, source rights, or ownership route is missing or unclear.
State the visible version and the requested or observed change without deciding whether it is correct. Keep brand direction, claims, legal review, accessibility, licensing, consent, budget, and final creative judgment with the authorized owner.
Name the reviewer and the owner who can approve publication. A preparer can collect permitted references, compare them with the approved brief, and route a question, but cannot apply a change or publish an asset.
Keep only safe references in the record. Do not paste credentials, source files, license keys, customer data, private attachments, restricted exports, or platform-access details.
Stop and escalate when a claim, source right, approval, accessibility requirement, publishing authority, destination, or live change is unclear. Record the authorized decision reference and a business-set recheck after any owner action.
Stop and clarify
A prepared asset does not grant publishing authority.
Use the written escalation route when the request reaches claims, source rights, accessibility, licensing, consent, budget, publication, a live page, or an unclear customer effect.
The preparer is asked to rewrite approved copy, decide brand direction, approve a claim, change a live asset, publish, or treat a draft as final approval.
The approved brief, asset reference, version, reviewer, source right, accessibility requirement, publishing owner, or intended placement is missing or conflicts with the request.
The record includes credentials, source files, license keys, customer data, private attachments, restricted exports, or platform-access details.
A request involves budget, targeting, consent, legal wording, accessibility, licensing, publication, or a customer-facing promise without a named authorized owner.
