Customer-success source-review record

Prepare health-score inputs before an owner reviews the account.

Use one record to keep the approved source, reporting period, stated input, held interpretation, reviewer, evidence location, stop condition, and recheck together. It prepares an owner review; it does not define a health score, interpret an account, or trigger customer action.

A preparer may collect approved references, state what the source shows, and flag a gap or conflict. Authorized customer-success, data, product, privacy, security, finance, renewal, and support owners retain health-score definitions, scoring rules, access, interpretation, account prioritization, customer outreach, pricing, renewals, product work, privacy decisions, and customer-outcome decisions.

Four control fields

Keep the source-linked input separate from the account decision an owner still needs to make.

The source, held interpretation, owner route, evidence, communication boundary, and stop point stay easy to inspect.

Control field

Approved source and review period

Record the approved source reference, its owner, the stated review period, and a safe evidence location. Do not copy customer records, ticket transcripts, raw exports, credentials, recovery material, restricted screenshots, or private attachments into this record.

Control field

Observed input and source status

State the approved, source-linked input and flag a missing, conflicting, stale, or restricted reference. A preparer can record what the source shows; they cannot fill a gap through inference or change the source.

Control field

Held interpretation and action

Hold the score definition, weighting, threshold, account interpretation, priority, outreach, renewal, pricing, product, privacy, and customer-outcome action for the named authorized owner.

Control field

Owner route, communication authority, and recheck

Name the customer-success owner, any specialist reviewer, the permitted communication route, stop condition, safe decision reference, and business-set recheck. Default to no customer communication authority unless a written route says otherwise.

Fictional examples

A source-linked input gives an owner something to review. It is not a health judgment.

These fictional records show preparation only. On smaller screens, scroll the table sideways to read every field.

This record prepares approved health-score inputs for review. It does not define, calculate, validate, interpret, publish, or change a health score; grant access; contact a customer; prioritize an account; decide outreach, pricing, renewal, product work, privacy treatment, or any customer outcome. Do not paste customer data, ticket transcripts, raw usage exports, credentials, recovery material, restricted screenshots, or private attachments here.

The full record stays visible and selectable. Nothing is uploaded or saved.

Review steps

Prepare the input. Stop before making an account decision.

A preparer can collect approved references, state what they show, and flag a mismatch. The authorized owner decides what happens next.

  1. Open the approved source and record its owner, stated review period, source-linked input, and safe evidence location. Hold the record if the source, period, reviewer, access boundary, or stop owner is missing or unclear.
  2. Record what the approved source shows and flag a missing, conflicting, stale, or restricted input. Do not calculate a score, supply a definition, fill a gap through inference, or change a source record.
  3. Name the customer-success owner and any required data, privacy, security, finance, renewal, product, or support reviewer. A preparer can collect permitted references and route a gap; an authorized owner decides any account interpretation or next step.
  4. Keep only safe references in the record. Do not paste customer data, ticket transcripts, raw exports, credentials, recovery material, restricted screenshots, private attachments, or access details.
  5. Stop and escalate when the source conflicts, a definition or access question is open, restricted data appears, or someone asks for account priority, outreach, renewal, pricing, product work, privacy treatment, or a customer outcome. Record the written owner decision and a business-set recheck after any owner action.
Stop and clarify

A source-linked input does not grant account authority.

Use the written escalation route when a request reaches score definitions, access, an account interpretation, outreach, renewal, pricing, product work, privacy, security, or a customer outcome.

  • The preparer is asked to define, weight, calculate, validate, publish, or interpret a health score; label an account; set a priority; or recommend an account action.
  • The approved source, review period, definition, reviewer, access boundary, communication authority, or stop owner is missing or conflicts with the request.
  • The record includes customer data, ticket transcripts, raw exports, credentials, recovery material, restricted screenshots, private attachments, or access details.
  • A request involves customer outreach, renewal, pricing, a discount, product work, privacy treatment, security, or an account outcome without a named authorized owner.
