Turn an approved meeting note into a checkable action without assigning authority.
Use one record for an explicit follow-up, its approved-note reference, accountable owner, safe evidence, blocker, escalation route, and next check. It captures preparation; it does not turn a discussion into an approved decision.
This log does not assign work, change priorities or schedules, commit a customer, approve spend, grant access, decide policy, or authorize a message. Authorized owners retain those decisions, including legal, privacy, security, safety, clinical, and regulated-work questions.
Four control fields
Keep the note, action, accountable owner, and decision boundary separate.
The log makes follow-up inspectable without pretending that a note grants new authority.
Control field
Approved meeting-note reference
Record a safe calendar, agenda, approved-note, or project reference. Do not paste attendee contact details, private meeting transcripts, customer records, recordings, credentials, or confidential attachments into this log.
Control field
Stated action and supporting note marker
Write the observable follow-up and the agenda item, timestamp, or approved-note heading that supports it. A discussion point is not permission to infer a new action, priority, deadline, or commitment.
Control field
Accountable owner and support contributor
Name the person or role that confirms completion, separately from anyone preparing a draft or evidence. Meeting attendance does not assign work or make someone the decision owner.
Control field
Due reference, blocker, evidence, and recheck
Use a stated due or next-check reference, name a dependency or blocker, and link safe completion evidence. Hold and escalate any unclear scope, priority, schedule, access, money, customer, policy, legal, privacy, security, safety, or regulated-work question.
Fictional examples
A visible follow-up has a named owner. It does not make that person the decision owner.
These fictional records show preparation only. On smaller screens, scroll the table sideways to read every field.

Fictional action MNA-014: support evidence packet
An approved support meeting note names a ticket-review agenda item and a safe project reference. A preparer gathers the already approved ticket references without copying customer records or private messages into this log.
The support lead still decides whether any customer reply, refund, credit, account change, service remedy, or promise is appropriate. No reply is drafted or sent from this record.
A fictional support lead is accountable for confirming the evidence packet. A coordinator prepares the references and routes unanswered questions to that lead.
Approved note reference, safe ticket-evidence location, blocker, owner-confirmation status, and a next support-review check.
Fictional action MNA-027: operations status draft
An approved operations meeting note identifies a status-update agenda item, source report, and safe workspace reference. A project coordinator prepares a source-linked draft for review.
Priorities, scope, staffing, dates, budget, team communication, client communication, and commitments remain held until the operations manager confirms them.
A fictional operations manager is accountable for the next action. The coordinator can prepare evidence and a draft but cannot assign work or change the schedule.
Approved note reference, source-report location, open dependency, manager confirmation reference, and business-set recheck.
Copy-ready action log
Record one explicit follow-up without copying restricted notes or deciding what happens next.
Paste this into the business's approved system. Use safe references, not credentials, customer records, private transcripts, payment details, or confidential attachments.

Use safe references to approved notes and approved systems. Do not paste credentials, customer records, private meeting transcripts, recordings, payment details, confidential attachments, restricted exports, or sensitive messages here. Completing this log does not assign work, change priorities or schedules, commit a customer, approve spend, grant access, decide policy, authorize a message, or make a legal, privacy, security, safety, clinical, or regulated-work decision. Authorized owners control those decisions.
The full log stays visible and selectable. Nothing is uploaded or saved.
Follow-up steps
Capture the stated action. Stop before deciding it.
A preparer can gather references and flag a blocker. The accountable authorized owner decides what is permitted and confirms the next action.
Open the approved meeting note and create one record for each explicit follow-up. Record a safe source reference and the note marker that supports the action; hold the item if either is unclear.
Name one accountable action owner, then separately name any preparer or support contributor. Do not infer ownership, a deadline, authority, or a decision from who attended the meeting.
Use the stated due date or next-check point. If the note does not state one, record that it needs confirmation instead of inventing a schedule.
Link safe evidence and name any dependency, blocker, or escalation route. A preparer can gather references, prepare a draft, and surface a question, but cannot assign work, approve a change, or send a customer message.
Stop and move genuine decisions or exceptions to the authorized owner. Keep money, customer commitments, access, privacy, security, legal, policy, safety, clinical, and regulated-work questions with that owner, then record the decision reference and recheck.
Stop and clarify
Meeting notes should not become a shortcut around owner review.
Use the written escalation route when a follow-up reaches authority, customer commitments, money, access, privacy, security, legal, safety, policy, clinical, or regulated-work questions.
A meeting attendee is treated as an action owner, decision owner, sender, or approver without an explicit authorized assignment.
The record guesses a priority, deadline, scope, schedule, staffing change, budget, customer promise, or policy action from an informal discussion.
A preparer is expected to resolve an exception, approve access, commit money, change a customer account, send a message, or decide what work should happen next.
The log has no approved-note reference, accountable owner, safe evidence location, blocker route, or next check.
The record contains credentials, customer records, private meeting transcripts, recordings, payment details, confidential attachments, restricted exports, or sensitive messages.
