Provider transition record

Keep the access and return evidence in front of the owner who has to decide.

Use this record when a provider arrangement changes, pauses, renews, or ends. It gives the business and system owners one place to inspect safe references, held actions, open exceptions, and the next recheck.

This record prepares a review. It does not revoke access, confirm deletion or return, approve terms, authorize a customer communication, or make a security, privacy, legal, financial, or operational decision. Written terms and authorized owners control.

Review steps

A useful record says what has not been decided yet.

Preparation can surface a missing account review or work handoff. It cannot substitute for the owner who controls the next action.

  1. Start with the written transition context and one safe reference for each account, asset, or work item.
  2. Record what is known, what remains held, and where an authorized owner can inspect the evidence.
  3. Separate preparation from the decisions to revoke access, accept returned material, change terms, communicate with customers, or make security and privacy calls.
  4. Name the business and system owners before a provider, preparer, or reviewer treats an item as finished.
  5. Pause when access, return material, an open work item, or the authorized decision is unclear.
  6. Record the next owner check and update the approved instruction only after the right owner records the result.
Stop and clarify

Do not turn an evidence record into a permission slip.

When a record concerns access, data, customer work, money, or a contractual change, the right owner needs to make the decision.

  • A shared brief contains credentials, recovery material, raw logs, customer records, payment details, or full confidential terms.
  • Someone calls access removed, data returned, or transition complete without a named owner's evidence review.
  • A provider or preparer is asked to revoke access, delete records, approve terms, send a customer message, or decide a security outcome.
  • An open exception has no stop condition, owner, approved evidence location, or next review.
  • A verbal recollection replaces a dated source, inventory, ticket, or owner record.
