Prepare the panel record. Keep the hiring decision with the hiring team.

Use this sheet to assemble an approved interview request, panel status, material references, safe logistics, and a recheck. It makes missing details visible without granting authority to select panelists, evaluate candidates, or send a message.

This is an internal coordination record, not hiring, HR, legal, employment, compensation, privacy, accessibility, or compliance advice. It does not select a panel, evaluate or advance a candidate, set interview questions, schedule a meeting, authorize access, create an offer, or authorize a candidate-facing message. Employer-authorized decisions and approved systems control.

Eight fields

Tie every panel detail to an approved record and owner.

If the detail has no approved source or named owner, mark it held. A coordination sheet cannot resolve a hiring, access, accommodation, or communication decision.

Review steps

Prepare the record without taking over the hiring process.

A coordinator can assemble approved records and route gaps. Employer-authorized owners make panel, evaluation, access, accommodation, and communication decisions.

  1. Start with an employer-approved requisition and interview-stage request, not a verbal instruction or informal candidate note.
  2. List only approved panel members, packet references, and safe logistics records. Mark missing information as held instead of filling the gap yourself.
  3. Route panel changes, interview materials, accommodations, access questions, and candidate-facing messages to the employer-authorized owner.
  4. Keep candidate selection, evaluations, advancement or rejection, compensation, offers, sensitive data, and calendar permissions with authorized employer owners and systems.
  5. Record the permitted confirmation and the next recheck. Delete or retain records only through the employer's approved process.
Stop and clarify

A complete-looking sheet does not create authority.

Pause when the approved request, owner, material, access rule, or communication authority is missing or conflicts with the proposed action.

  • A completed sheet is treated as permission to choose a panel, evaluate a candidate, schedule a meeting, or send a message.
  • Someone adds interview notes, resumes, accommodation details, contact information, or credentials to the shared record.
  • The role brief, panel roster, material version, or communication authority changed without a written employer decision.
  • A coordinator is asked to promise a time, outcome, decision, offer, or next step to a candidate.
  • No authorized owner can explain who holds the missing detail or where the approved evidence belongs.
