Data-preparation record

Hold a data-import exception before it becomes a production change.

Use one record to capture the approved source, permitted fields, observed mismatch, held action, named owner, safe evidence, stop condition, and recheck. A preparer documents the difference; an authorized owner decides what happens next.

This record does not authorize imports, mappings, merges, overwrites, deletions, retention decisions, permissions, exports, automation, reporting conclusions, or production changes. Authorized data, CRM, catalog, privacy, business, and system owners control those decisions.

Six control fields

A useful exception record shows the source, the hold, and the owner route without pretending to fix the data.

It gives the right owner a clear starting point. It does not turn a file or a request into approval.

Use an opaque batch reference, the named system and object, and the written mapping version. Do not paste records, raw files, exports, credentials, recovery material, or confidential attachments into this record.

Name the dated approved source, file or feed version, and fields the owner has allowed. Hold the record when a source, field list, or mapping is absent or conflicts.

Describe the mismatch, duplicate candidate, restricted field, or missing mapping without guessing what the data means or how many records should change.

Review steps

Prepare the record. Stop before an import or data decision.

A preparer can compare approved sources, preserve the mismatch, and route a held correction. The authorized owner decides whether anything changes.

  1. Open the safe batch reference, written mapping, permitted-field list, and dated approved source. Hold the record if any of them are missing or conflict.
  2. Write down the observed exception, affected-row reference, and unknowns. Do not turn a proposed mapping or duplicate guess into a data fact.
  3. Name the held action and downstream effects. Imports, merges, deletion, retention, permissions, reporting conclusions, and production changes stay with authorized owners.
  4. Route the record to a named data, system, and business owner. A preparer can compare sources and draft the held-correction note, but cannot approve or run the change.
  5. Attach only safe references to an owner-approved preview, test, or rollback path when written scope and access rules permit one.
  6. Recheck after the owner records a decision. Route recurring mapping or source-rule work to the relevant SOP and decision owner.
Stop and clarify

A clean-looking file does not give a preparer authority to run an import.

Use the written escalation route when the source, field list, mapping, duplicate outcome, access rule, or downstream effect is unclear.

  • The source is not approved, a field is restricted, the mapping is missing, or the file version conflicts with the written record.
  • A preparer is asked to run an import, define a mapping, merge or delete records, change retention, grant permissions, or make a production change.
  • The request includes raw exports, credentials, recovery material, personal or customer data, confidential attachments, or a downstream effect nobody can explain.
  • A prepared record, preview, or status label is treated as permission to import, overwrite, merge, delete, alter a report, or bypass a named owner.
Before data-support work

Give the reviewer evidence, not broad system access.

A preparation record cannot repair unclear permissions or missing decision rights. Start with approved sources, permitted fields, limited access, named owners, and a written escalation route.
