Prepare the coverage conversation before the task owner is away.

Use one approved task at a time. Record the current source, a possible backup reference, reviewer, access check, work that must stay on hold, and the return check. The result helps an authorized owner review the gap. It does not assign coverage.

This browser-only planning aid does not save or submit answers. Do not paste passwords, personal data, customer records, payment details, schedules, contracts, or confidential source contents. It does not assign a person, grant permissions, set hours, promise customer coverage or service levels, approve pay, or make staffing decisions. Authorized owners and approved systems retain those decisions.

1. Approved task and boundary

Is one repeat task named, with work that stays outside it?

2. Current approved source

Is there a current approved SOP, record, folder, or system reference? Do not paste sensitive contents.

3. Possible backup reference

Is there a named reference for an owner to review, with task-specific preparation evidence?

4. Reviewer and owner route

Is the authorized owner or reviewer named for questions, exceptions, and any coverage decision?

5. Current access boundary

Is the written least-access boundary known for this task? This is not an access request.

6. Work that stays on hold

Does the record state what must pause while the approved owner is unavailable?

7. Return check

Is there a stated point for the owner to review held work, exceptions, and the record after returning?

A named person is not proof of coverage. Use the record to show what is known, what still needs owner confirmation, and what must remain on hold while the approved owner is unavailable.

  1. Choose one approved repeat task, not an entire role.
  2. Check the written source, owner route, possible backup reference, and current access boundary.
  3. State the actions that must stay on hold and the point for the owner to review the record on return.
  4. Hold the task whenever a required control is missing or the situation falls outside the written boundary.
  5. Update the approved record only after the authorized owner makes the relevant decision.
