Use this matrix to list the primary worker, backup, training status, access, and latest checked sample for each repeat task. It helps managers find work that still depends on one person and choose what to train or review next.
The matrix records current training and access. It does not approve a person for new work, grant access, expand scope, or give them authority over customer, money, legal, security, payroll, tax, safety, privacy, or policy decisions.
A named backup is not enough.
Check whether the backup has seen the task, completed a safe sample, and has the right access. Name the reviewer, blocked actions, workload limit, and next refresher so the row shows what is still missing.
- Use a narrow task, not a whole job title.
- Keep training status separate from current access.
- Link to the checked sample instead of relying on memory.
- Write down the actions that still need an authorized owner.
- Mark the task uncovered when any required check is missing.
Set one limit for support and another for finance preparation.

Riley may prepare routine delayed-order drafts, but the support lead controls task assignment and wording outside the saved reply. Alex may match routine invoice records and prepare a variance list, while authorized finance staff keep invoice approval, controlled record changes, posting, exceptions, and payment release.

Review one task before adding the next.
The row should describe the work that was actually practiced and checked. If the process, access, reviewer, or limit changes, review the row again.
- Choose one repeat task and write the limit narrowly enough for a reviewer to check.
- Name the primary person and backup, but mark the task uncovered until the backup has the listed training, access, sample, and reviewer.
- Review one safe sample and record the date, result, reviewer, and source reference.
- Confirm the backup's current access and list every action that still needs an authorized owner.
- Set a workload limit and refresher date, then recheck the row when the process, system, access, or reviewer changes.
Review the task, access, sample, and manager time together.
Bring the role, task limit, sample result, blocked actions, and current reviewer load. Do not paste credentials, customer records, payment details, or other sensitive evidence into the contact form.
