Rework
Count what had to be redone and name the reason.
Rework is occasional and tied to new examples or edge cases.
The same fix appears every week, so the SOP or sample needs a rewrite.
Access
Review named accounts, permission levels, shared files, exports, and offboarding rules.
The assistant has the lowest useful access and no owner-only tools.
Broad admin access, shared logins, or unused accounts need cleanup before scope grows.
SOP drift
Look for quiet changes between the written process and the way work is actually done.
New examples are added to the SOP before the next batch starts.
If people keep working from memory, pause expansion and update the checklist first.
Next-month scope
Pick one lane to keep, one to tighten, and one to leave with the owner.
The next month has a smaller, clearer scope than the wish list.
Do not add higher-risk work until the current lane has two clean review cycles.
30-minute review

Run the review from evidence, not memory.

Bring the original scope, a sample of finished work, blocker notes, and the access list. Then make one decision for the next month.

  1. Pull the agreed role scope, SOP links, access list, first-week notes, and the past month of finished work.
  2. Sample the work by category: quality, speed, rework, access, SOP drift, and owner-only decisions.
  3. Write the top three fixes in plain language and assign one owner for each fix before the next month starts.
  4. Choose what repeats next month, what gets tighter rules, and what should stay paused or owner-reviewed.
  5. Send a short recap with the score, the next-month scope, and the date for the next access and quality review.
Copy-ready recap

Send a short monthly recap that names the decision.

The recap should tell the provider what repeats, what gets fixed, and what stays with the owner. Short is fine. Clear is better.

  • Monthly recap: "This month, [work lane] produced [count/output]. Keep [what worked]. Fix [top issue]. Hold [owner-only decision] with [owner]."
  • SOP fix: "The same miss appeared in [sample count]. Add [example/rule] to the SOP before the next batch. Review again on [date]."
  • Scope decision: "Next month, repeat [safe lane], tighten [rule/access/example], and do not add [higher-risk work] until we have another clean review."
